Virtual Office Phone System

This system is perfect for the small company that has employees working in different locations, or simply desires a professional telephone system which can transfer calls to employees easily, without a large technology or phone line investment or contract. Our system supports a number of options for your use. We recommend the use of a main phone number (you may optionally add numbers in any other areas within our service area or toll free numbers) which rings to an automated answering attendant. Then, the auto-attendant can announce the company name and anything else you'd like. Options then can be given to the caller however you prefer such as dial extension, employee directory, directions to office, general company info, etc. Each person will receive a 3 digit extension on the system, assigned by us when ordered.

We can provide several types of extensions:

Voicemail Extensions are either information-only mailboxes (no ability to take messages) or they have a customized voicemail greeting and then send the voicemail to the person of your choice via email as a WAV file.

Follow-Me-Find-Me Extensions can place the caller on hold (where they will hear music) while the system tries to reach you at up to four phone numbers. When the system detects a voice on the line, it will say "This call is for <your name>. (optional: The caller's name is <say caller's name>) Press any key to accept this call." Pressing any digit on your phone will release the call to you. Otherwise, the system skips to the next number to try as you specified. If the system tries all numbers on file for you without success, it will announce to the caller that you cannot be located and will take a voicemail, then send it via email (with the callerID info) as a wav file to the the email address that you gave us. A computer-based tool is provided to allow you to change your follow-me-find-me numbers, record greetings and other extension options.

Analog Extensions.  If your office is on the AstroTel network with a T1, the best option is an Analog Extension on the Virtual Office Phone System. Analog extensions provide the most reliable, seamless method of connecting both inbound and outbound calls through the system. A computer-based tool is provided to allow you to change your forward numbers, record greetings, manage calls in your hold queue, integrate with your Outlook, Goldmine or Act! software and other extension options. Inbound calls ring directly to your phone with no prompts and no hold time. If you're on the phone, the system will advise the caller of that and allow them to hold or leave a voicemail. Voicemail gets sent via email (with the callerID info) as a wav file to the recipient. This option has many more advantages, such as call forwarding, call transfer, conference calling and even inbound call groups. Inbound call groups (such as customer service) which allow your callers to select an option from the attendant which rings multiple people at the same time to increase the chance of the call being quickly answered by a live person.  You can select any standard analog telephone device to use with this service, including cordless, BlueTooth devices, wired or wireless headsets, or just a plain old desk phone.  Because the features are all provided by the system, your phone only needs to have a flash button in order to use them.  Callers on hold, in personal call queue or workgroup call queue will hear music on our system.  The ability to record a call on demand is provided on the computer applet.  Automatic recording of all calls is available for a nominal monthly fee.

Broadband Phone Extensions can use a high-speed internet connection (purchased seperately) to give you complete inbound and outbound calling services over the internet using a device called an IP Phone Adapter on the remote end. Broadband phone extensions provides a seamless method of connecting both inbound and outbound calls through the system. A computer-based tool is provided to allow you to change your forward numbers, record greetings, manage calls in your hold queue, integrate with your Outlook, Goldmine or Act! software and other extension options.
