SmartMail Inbound Faxing Services

AstroTel’s SmartMail FAX service provides a subscriber with their own fax number — either a local Florida number or a toll free number — which accepts faxes and then converts them into the convenient Adobe PDF format and
delivers them to the subscriber by email. Subscribers can also “port” telephone numbers to SmartMail FAX from other carriers so they won’t have to change their fax numbers when they subscribe. Once you receive a fax as an image, it can be stored on disk, printed, forwarded, annotated or just deleted.

There is no limit to the faxes you receive and no per-fax or other additional charges.

We also provide a web interface where subscribers and IT administrators can view, print, and save faxes sent to any of their company’s SmartMail FAX subscribers for 90 days after a fax is received. This feature allows for quick and easy retrieval in case of an email outage, misplaced email, or vacationing staff member.

SmartMail Fax Outbound Faxing Services from your Windows Computer

This service is a FREE add-on option to our inbound fax service. For a small one-time software license fee, we’ll provide you with a software program to load on your computer which allows you to send faxes through SmartMail FAX right from your screen! It even integrates with your Microsoft Outlook Contacts! When you send a fax, we’ll transmit it immediately AND email you a confirmation with an image of your fax attached! This allows for quick, easy and complete recordkeeping of exactly what faxes you sent, when and to whom. Database integration is also supported for mass-faxing. All faxes incur a small usage charge, which includes any applicable long distance charges. Usage charges are itemized on your monthly invoice per-user for easy cost accounting.

SmartMail Fax High-Capacity Outbound Faxing Services from our Digital Scanner

This service is an add-on option to our inbound fax service. We’ll provide you with a high-speed digital sender which connects to your high speed internet connection, and allows you to send faxes through our system quickly and easily! When you send a fax, we’ll transmit it immediately AND email you a confirmation with an image of your fax attached! The digital fax sender includes a 50 page document feeder, supports faxing of double-sided pages, automatically accounts for each user’s faxes and sends at a blazing speed of 4 seconds per page! All faxes incur a small usage charge, which includes any applicable long distance charges. Usage charges are itemized on your monthly invoice pre-user for easy cost accounting.

Here's How It Works:

SMARTMAIL FAX:
We will provide your fax number (727, 407, 321, 941, 863, or 813 area code), or we can port your existing fax number in from another carrier. All faxes sent to your fax number will automatically be placed in your email box as a PDF image file which can be viewed with the free Adobe Acrobat Reader software. Once you have your fax as an image, it can be stored on disk, printed, forwarded, annotated or just deleted. There is no limit to the faxes you receive and no per-fax or other additional charges. If you prefer, we'll issue you a toll-free fax number rather than a local number at the same low monthly rate! A .05 per minute charge applies for all inbound toll-free calls.

SPECIAL FEATURES:
BACKUP DELIVERY METHOD. Faxes are automatically delivered to your email box when they arrive. If you have trouble with your email software or your email service, we provide an on-line web interface where you can view your faxes as a backup. You can also use this feature to look up a received fax from another computer at a different location, as long as you have your login information for our on-line system.

COMPLETE RECORD OF ALL FAXES. A detailed, up to the minute report of all of your faxes is available on-line for review and documentation purposes.

FREE SELF-PROVISIONED MOVES, ADDS, CHANGES. You can administer your SmartMail Fax accounts online at any time, free! This includes changing users, changing email addresses, adding service, or opening a service or trouble ticket. The changes you make online are immediately effective; no waiting time!

PORT-IN OF EXISTING NUMBER FROM ANOTHER CARRIER. We can take an existing telephone number from any other carrier in our service area, and port it to SmartMail Fax. This prevents the need to distribute a new SmartMail Fax number or re-print anything that already has your fax number on it. Of course, if you should ever choose to discontinue the service you are able to convert to regular telephone service from Eagle, or port the number out to another carrier.

NEVER A BUSY SIGNAL. Our system is designed to handle any load of incoming faxes. No matter how many faxes you get, your callers will get through every time.

We like to earn your business each month that you use our service. We never require a term agreement for SmartMail Fax service, our customers are free to cancel at any time.

SmartMail Fax for Small Business

For very small companies, we can port your existing fax number to SmartMail Fax. We can then disconnect your fax line, and you can use your fax machine to send out faxes on another office line (out-bound only) when it is not in use. This saves you the cost of the fax line, which is a much greater savings than the cost of SmartMail Fax.

SmartMail Fax for Medium and Large Businesses
We can forward your existing fax number to SmartMail Fax (keeping the phone line and fax machine intact for outbound faxes), and then point it to the email of one staff member in your office. Faxes that come in then can be forwarded via email to the proper person. We then issue a new fax number to each staff member, and each person begins to distribute their own SmartMail Fax number. Gradually, the old number gets less usage as more and more faxes are sent directly to the intended recipient's SmartMail Fax number.

SmartMail Fax for Document Imaging
Many of our customers use SmartMail Fax for document imaging. This quick, easy to use, and inexpensive solution allows you to convert all of your paper documents to images, and then file those images in an electronic format. Once stored electronically, they can be distributed, stored and backed-up. This solution can be as easy as using your fax machine and faxing documents to your SmartMail Fax telephone number, or for large volume applications we have a high-speed scanner solution that can do this much
more rapidly.

SmartMail Fax Outbound Fax Solution
For all users who subscribe to our inbound SmartMail Fax service, we offer Fax-From-The-Desktop outbound faxing at no additional monthly charge. There is a one-time software license fee for the needed software, and a nominal per-minute charge for all outbound faxes sent. For large volume users of this service, a software rebate is available. Our high-capacity SmartMail system can handle any amount of faxes you choose to send, including mass faxes. With SmartMail Fax outbound, you can configure the number of retries on outbound faxes, and also what type of notifications you would like to receive in your email box (successful send, failed with retry pending, or final failure).
